Refund Policy
1. Scope of Policy
This policy applies to all payments made to the Community Recovery Center of Roane County (CRCRC), including private-pay fees, deposits, and co-payments.
2. Clinical Assessment Fees
Fees associated with the initial clinical assessment and intake process are generally non-refundable. These fees cover the professional time and diagnostic tools used by our clinical team to determine the appropriate level of care.
3. Private-Pay Residential/Outpatient Services

Voluntary Discharge: If a patient chooses to leave treatment against medical advice (AMA) before their prepaid period expires, refunds are typically calculated on a pro-rated basis, minus an administrative discharge fee of $[Amount].

Involuntary Discharge: If a patient is discharged for a violation of the Patient Code of Conduct (e.g., bringing substances onto the premises or violence), CRCRC reserves the right to withhold a portion of the unused funds to cover administrative costs and the inability to fill the treatment bed on short notice.

Medical Necessity: If our medical director determines that a patient requires a higher level of care (such as hospitalization) that we cannot provide, unused portions of pre-paid fees will be refunded in full.
4. Insurance Co-Payments and Deductibles

Overpayments: If an insurance provider pays more than anticipated, resulting in a credit balance on the patient’s account, a refund will be issued to the original payer within [30-45] days of the final claim being processed and settled by the insurance company.

Non-Covered Services: Refunds are not provided for services that an insurance company later deems "not medically necessary" if the patient agreed to pay for those services in advance.
5. Refund Process

All refund requests must be submitted in writing to the Billing Department at contact@communityrecoverycenter.org.

Refunds will be issued via the original payment method (Credit Card, ACH, or Check).

Please allow [14-30] business days for processing once a refund is approved.
